Leads are not arriving in a tool

People sign up but your e-mail tool, CRM, sheet or chat stays empty. Find out which of five causes it is, cure it, and send the missed leads again.

First, the good news: the leads are not lost. Every lead is saved in Tafsee before it is sent anywhere. Open Audiences to see them.

Step 1: read the Delivery column

In the leads list, each lead says where it stands. That one word tells you which cause to look at:

  • Not sent to a tool: go to cause 1 or 2.
  • Failed: go to cause 3 or 4.
  • Retrying: go to cause 5.
  • Delivered, and still nothing in the tool: go to "Delivered but not visible".

Cause 1: the campaign does not send to the tool

A connected tool receives leads only from the campaigns you ticked for it. New campaigns are not added by themselves.

Cure: open Integrations, click the campaigns button on the tool's card, tick the campaign and click Save campaigns. Or add the tool in the campaign's Publish step.

Cause 2: the tool is not connected, or was disconnected

Cure: open Integrations and connect it. See Connecting a tool: how it works.

Cause 3: the tool does not accept the connection

Open a failed lead and look under Where this lead went. You read one of these:

  • The tool did not let us in: its key or permission has changed. Connect the tool again, then send the lead again.
  • The tool could not find the list or address this campaign sends to. Check where this campaign sends its leads.
  • This tool has been disconnected, so the lead could not be sent. Connect it again, then send the lead again.

After The tool answered: comes the tool's own answer. For Google Sheets, an answer about a sign-in means the web app is not open to "Anyone": see Google Sheets.

Cause 4: the tool refuses this lead

  • The tool refused this lead. Most often a field it requires is missing, or a value is in a form it does not accept. Check the field mapping.

Typical cases: the form has no e-mail field and the tool needs one; a required field of the tool gets no value; the tool rejects the address.

Cure: add the missing field to the form or to the campaign's rows, then send again.

Cause 5: the tool is busy or down

  • The tool is busy and asked us to slow down. We keep trying by ourselves.
  • The tool had a problem on its side. We keep trying by ourselves.

Nothing to do. Tafsee tries again by itself, six times over about fifteen hours.

Your plan is holding leads back

  • Your plan is holding this lead back. It is safe in Tafsee and goes out by itself once the plan allows it.

Leads beyond the month's allowance are kept and are sent after an upgrade. See Plan, billing and limits.

Delivered but not visible

  • E-mail tools: the contact may be waiting for a confirmation e-mail, or was added as non-marketing because no consent was given. Look for it by its address, in all contacts.
  • A sheet: the row is in the first tab of the spreadsheet.
  • A chat: the message went to the channel the webhook belongs to.
  • A test lead uses an address that ends with @tafsee.test.

Send the missed leads again

  1. Cure the cause.
  2. In Audiences, click Failed only.
  3. Tick the leads and click Send again.

A lead that was already delivered is never sent twice. See Lead delivery and Send again.

Prove the whole path

Open the campaign's Publish step and click Send test lead. A marked test lead goes through the same path as a real sign-up, and the window shows what each tool answered.

Be told when it happens

Switch on the alert Leads can't reach a connected tool in Settings > Alerts. The bell in the top bar then warns you, and its link opens the failed leads.
