Lead delivery and Send again

How a lead travels from your popup to your tools, what Delivered, Retrying, Failed and Not sent mean, and how to send a failed lead again.

A sign-up is never lost because a tool had a problem. This article explains the path of a lead and what to do when one does not arrive.

The path of a lead

  1. The visitor signs up. The lead is saved in Tafsee at once.
  2. Tafsee sends it to each tool connected to that campaign.
  3. Each tool's answer is recorded on the lead, under Where this lead went.

The four states

  • Delivered: Every connected tool has this lead.
  • Retrying: On its way. We keep trying by ourselves.
  • Failed: A tool did not take this lead. Open it to see why and send it again.
  • Not sent to a tool: Saved in Tafsee. No connected tool was sent this lead.

Automatic retries

When a tool is busy, down or cannot be reached, Tafsee tries again by itself: after 1 minute, then 5 minutes, 30 minutes, 2 hours and 12 hours. That is six attempts in all. After the last one the delivery is marked Failed.

Some answers are not worth repeating: a wrong key, a list that is gone, a lead the tool refuses, or a Google Sheet that asks for a sign-in. These are marked Failed at once, because the same lead would get the same answer until something is changed.

Find the leads that failed

  1. Open Audiences.
  2. In the bar above the table, under Delivery, click Failed only.
  3. The total changes to the number of matching leads. The filter looks at all your leads, not only the newest.

The alert in the bell, Leads didn't reach the tool, opens the same list.

See why, and fix it

  1. Open a failed lead and go to Where this lead went.
  2. Read the reason in plain words, and after The tool answered: the tool's own answer.
  3. Follow the link next to it: Check the field mapping, Open Integrations or See your plan.

The reasons and their cures:

  • The tool did not let us in: its key or permission has changed. Connect the tool again, then send the lead again.
  • The tool could not find the list or address this campaign sends to. Check where this campaign sends its leads.
  • The tool refused this lead. Most often a field it requires is missing, or a value is in a form it does not accept. Check the field mapping.
  • This tool has been disconnected, so the lead could not be sent. Connect it again, then send the lead again.
  • Your plan is holding this lead back. It is safe in Tafsee and goes out by itself once the plan allows it.
  • The tool is busy and asked us to slow down. We keep trying by ourselves.
  • The tool had a problem on its side. We keep trying by ourselves.

Send again

Fix the cause first. Then:

  • One delivery: on the lead's page, click Send again next to the tool.
  • Many leads: tick them in the list and click Send again.

A message says what happened in plain counts: how many were delivered now, how many are back in line, and how many failed again. A lead that was already delivered is never sent twice. Each try adds a line to the log under the attempts count on the lead's page.

What you should see

The lead's chip changes to Delivered, and the row or contact appears in your tool.

If it does not work

  • There is no Send again button: the tool is disconnected (connect it again first), or your role cannot manage leads.
  • It fails again with the same answer: the cause is not fixed yet. Read the tool's answer again.
  • All leads of one tool say Not sent to a tool: the campaign is not connected to that tool. See Connecting a tool: how it works.
  • Google Sheets: see Google Sheets for the two most common causes.
