Best Delivery Management Software: What to Look For

Every company that delivers its own goods eventually asks the same question: should we keep running deliveries from phone calls and a spreadsheet, or move to proper software? And if we move, which one? This guide explains how to choose the best delivery management software for your situation, what to measure once you use it, and how to run a trial that tells you the truth.

What delivery management software does

Delivery management software plans, runs and records the last stretch of a journey: from the moment goods are ready to leave your warehouse to the moment a customer receives them. At minimum it should help you group deliveries into trips, give each driver a clear list of stops, record what happened at each stop and show you the results afterwards. If you want the background, read what is last-mile delivery.

Criteria for the best last mile delivery software

Compare any two products against these points, in this order.

1. Trip planning that respects reality

A trip needs a driver, a vehicle and stops. Good software checks that the load fits the vehicle, warns before it is overloaded, stops the same driver or van from being sent out twice and lets you reorder stops or suggest a shorter order. If it cannot say no to a bad plan, it is only a diary.

2. A simple driver experience

Drivers are not office workers. They need today's stops in order, the packages for each stop, a one-tap way to call the customer or open navigation, and an easy way to record success or failure. If the driver app needs an installation they cannot manage, adoption will fail. A web app that opens in the phone browser removes one barrier.

3. Proof of delivery

A delivery you cannot prove is a delivery you will argue about. Look for a customer code, a signature or a photo, and for the option to require the one you trust. See what is proof of delivery.

4. Cash on delivery handling

If drivers collect cash, the system should record the amount per stop, the amount actually collected and the handover to the office, with a note when they differ.

5. Customer tracking

Customers who can see where their order stands call you less. Check what the page shows and for how long the link stays open.

6. Failed deliveries and returns

Failures happen. The software should record a reason, keep the goods accounted for and let you retry, return to stock or return to sender, so a package is never in an unknown state.

7. Reports you can act on

Reports should tell you what to fix, not just what happened. More on that below.

8. Arabic, right to left, and Saudi addresses

For a Saudi operation, check Arabic screens and whether addresses follow the national address format, because a vague address is the most common cause of a failed delivery.

How to manage delivery drivers

Software helps, but managing drivers is first a people question. These habits work whatever tool you use.

  • Give each driver a clear plan the evening before, not at the van door.
  • Check documents. A driving licence and the vehicle's registration, insurance and inspection should be valid. Good software warns you and blocks trips when a document has expired.
  • Make the handover of goods explicit. The driver should accept the boxes before leaving, so responsibility is clear.
  • Reconcile at the end. Every package handed over should end up delivered, returned or recorded with a reason.
  • Count the cash with the driver, and record differences with a note.
  • Give feedback with facts, using the reports rather than impressions.

Delivery driver shift scheduling

Delivery driver shift scheduling answers a simple question: who is working today, and are they allowed to take a trip? Keep shifts visible, avoid planning trips for drivers who are off and keep an eye on long days. In Tafsee Logistics, when shifts are set up for a driver, that driver must be on shift that day to be placed on a trip.

Delivery performance KPIs: what to measure

A delivery performance KPI is a number that shows how well deliveries are going. Choose a few and review them regularly rather than tracking everything.

  • Delivery success rate: the share of attempted deliveries that were completed.
  • Failure reasons: why deliveries failed, such as customer not available, wrong address or refused. This is where improvement hides.
  • Proof coverage: how often a code, signature or photo backs up a delivery.
  • Cash reconciliation: how often expected and counted cash match.
  • On-time delivery rate: the share of deliveries that arrived within the promised window. It is a popular KPI, but it only works if you promise a window and record the actual time.

To be clear about our own product: the delivery report in Tafsee Logistics shows the success rate, the failures by reason and the proof used. The office reports do not calculate an on-time delivery rate; only each driver's own progress view in the driver app shows an on-time percentage. If on-time performance is central to your contracts, ask every vendor, including us, exactly how it is measured.

Free delivery management software and free trials

Free delivery management software can be a fair way to start, and a delivery software free trial is an even better way to decide. Whichever you use, test it with real deliveries, not demo data. Check the limits of a free plan, such as drivers, deliveries and reports, and whether your data can be exported. A trial is only useful if you use it for a real week of work.

A seven-day trial plan

  1. Add three drivers, their vehicles and twenty real customers with addresses.
  2. Plan two trips, one with a capacity problem, to see if the software warns you.
  3. Let a driver run a trip on a phone, with the customer code or signature.
  4. Fail one delivery on purpose and follow it through the retry or return.
  5. Hand over cash and reconcile it.
  6. Open the reports and ask: would this tell me what to change?
  7. Ask the driver whether they would use it every day.

Questions

Frequently asked questions

The best one is the one that fits how you deliver: trip planning with checks, a simple driver app, proof of delivery, cash handling, customer tracking and reports. Test candidates with real deliveries in a trial.

Start with delivery success rate, failure reasons, proof coverage and cash reconciliation. On-time delivery rate is useful too, if you promise delivery windows and record actual times.

No. The delivery report shows the success rate, the failures by reason and the proof used (code or signature). The office reports do not show an on-time rate; each driver sees their own on-time percentage in the driver app's progress view.
